Zoho One revamp boosts collaboration with unified AI features

Zoho has introduced a redesigned version of Zoho One, its software suite for business operations, enhancing collaboration across its 50 applications with a focus on user experience, integration, and artificial intelligence.

The platform revamp aims to allow employees to work more fluidly across functions and reduce reliance on single applications, by providing a unified environment centred on people and organisational context.

User experience

The updated Zoho One interface introduces a system of 'Spaces', grouping applications on a top navigation bar according to personal, organisational, and departmental purposes.

This arrangement aims to streamline workflows by enabling users to access frequently used apps and resources without the need to switch between multiple windows. Spaces can be customised to adapt to individual and organisational requirements, including a central search bar designed to locate information or initiate workflow automations directly from the dashboard.

A newly introduced Action Panel lets users see a consolidated view of tasks, meetings, and communications sourced from any Zoho app, while dashboard updates offer a single destination for monitoring data drawn from all connected applications, including third-party ones. Users can now exercise more control over their software environment by adding or customising widgets to manage personal or departmental needs from one location.

Supporting collaboration, the addition of Vani creates a virtual space for visual teamwork, including tools for brainstorming, planning, and information sharing through flowcharts, whiteboards, mind maps, and video conferencing capabilities.

Integration focus

Zoho One now offers expanded native integration across the Zoho ecosystem and compatible third-party software.

Enhanced security features include smart offboarding-designed to manage former employee accounts and devices-and consolidated management of application portals, improving oversight and compliance. The platform's integrations are structured to accommodate a variety of business requirements, such as domain verification, workflow management, and support tasks that require connections between multiple apps.

Unified integrations enable monitoring and configuration from a central panel.

Users can set up and track customised flows for day-to-day processes, while foundational integrations bring disparate app portals into one screen, allowing oversight and configuration from a unified environment.

The platform's outcome-based integrations allow for cross-application workflows, such as the Smart Offboarding tool that simplifies tasks when users leave or change roles.

AI and intelligence

The platform now features Zoho's AI assistant, Zia, across all Zoho One applications.

Zia can aggregate information from both Zoho and non-Zoho apps, such as Google Workspace, and present unified, contextual answers to users' queries. The update is designed to reduce information silos and improve decision-making by supplying comprehensive, actionable insights in one place.

Zia Hubs, the intelligent content management system, receives a dedicated area in Zoho One, consolidating documents and recordings for more efficient search and retrieval.

For example, executed contracts or meeting conversations automatically store in the system's folders for quick access via Zia Search. Ask Zia, located on the bottom toolbar, extends the AI assistant's prompts to draw together insights from multiple apps, supporting a broader set of user needs including agenda management, tracking of incomplete tasks, and retrieval of recent meeting actions.
